Who We Are

Campus365 provides school management software to educational institutions. This Privacy Policy explains how information is collected, used, stored, and shared when authorized users access the Campus365 Teacher mobile application.

In most cases, the school or educational institution is the controller of school records. Campus365 processes those records to provide the service requested by the school.

Information We Collect

• Account and login information: teacher or staff name, school, role, user ID, email address or phone number, login credentials, authentication tokens, and selected school or tenant details.
• Teacher and employee information: profile details, timetable, assigned classes, subjects, leave requests, approvals, tasks, payroll or employee summaries shown by the school, and related staff records.
• Student and classroom records: class lists, student names, attendance, homework, exam marks, announcements, approvals, messages, and other academic records that teachers are authorized to view or update.
• Messages and support content: chat messages, notices, announcements, approval actions, and any information a user submits through the app.
• Device and notification information: Firebase Cloud Messaging token, device ID, device name, platform, app version, operating system version, and notification permission status so the app can send school-related push notifications.
• Technical and usage information: IP address, request logs, timestamps, crash or error information, and basic diagnostics used to secure, maintain, and improve the service.

Permissions Used by the App

• Internet access: required to connect securely to Campus365 services.
• Notifications: used to send alerts about school announcements, tasks, approvals, chats, and other teacher-related updates. Users can manage notification permissions in device settings.

The Campus365 Teacher app does not request camera, microphone, contacts, precise location, or background location permissions in the current Android release.

How We Use Information

• To authenticate users and keep accounts secure.
• To provide teacher workflows such as attendance, homework, exams, timetable, leave, approvals, chat, and announcements.
• To send transactional and school-related push notifications.
• To provide support, troubleshoot issues, and prevent abuse.
• To maintain service reliability, improve product quality, and meet legal obligations.

How We Share Information

We share information only as needed to provide and operate Campus365, including with the relevant school or institution, authorized school users, and service providers that help us host, secure, monitor, and deliver the app. These providers may include cloud hosting, analytics, logging, messaging, and notification infrastructure such as Firebase Cloud Messaging.

We may also disclose information if required by law, to protect the security of the service, or to enforce our agreements. We do not sell personal information.

Children's Information

Campus365 Teacher is intended for authorized teachers and school staff, not for direct use by children. The app may display student information because schools use Campus365 to manage educational records. Student data is processed on behalf of the school and is used only for school management and educational purposes.

Parents, guardians, and students who want to access, correct, or delete student records should contact their school first, because the school controls those records.

Data Storage and Security

We use administrative, technical, and organizational safeguards to protect information, including encrypted network connections, role-based access controls, and tenant isolation between schools. Authentication tokens and selected app settings may be stored on the user's device to keep the user signed in and provide app features.

No method of transmission or storage is completely secure, but we work to protect information against unauthorized access, disclosure, alteration, and loss.

Data Retention and Deletion

School records are retained according to the school's instructions, applicable legal requirements, and the school's use of Campus365. Account, device, notification, and technical logs are kept only as long as reasonably needed to provide the service, maintain security, resolve issues, or comply with legal obligations.

Users may sign out of the app to remove the local login session. Schools may request deletion or export of school-controlled records through their Campus365 administrator or support contact.

Your Choices and Rights

• You can disable push notifications through your device settings.
• You can request correction or deletion of your account information through your school or by contacting Campus365 support.
• If your request concerns student or school records, we may refer the request to the school because the school controls that data.

International Processing

Information may be processed and stored in countries where Campus365, its hosting providers, or its service providers operate. We take steps designed to protect information according to this Privacy Policy and applicable law.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and provide notice through the app, website, school administrator communication, or another appropriate method.
